Responsibilities

• Oversee daily facility operations to ensure efficiency and compliance with company policies; 
• Develop and implement maintenance schedules for equipment, air-con, plumbing, and electrical systems; 
• Ensure all facilities are clean, well-maintained, and meet operational and safety standards; 
• Conduct risk assessments and implement measures to enhance employee and visitor safety; 
• Coordinate emergency response procedures, fire safety drills, and security protocols; 
• Manage vendor contracts, oversee service quality, and ensure cost-effective facility management; 
• Monitor utility consumption and implement energy-saving initiatives; 
• Collaborate with the London Facilities Manager to develop and oversee the facilities budget, ensuring cost control and efficient resource allocation; 
• Plan office layouts, optimize space utilization, and oversee office moves or renovations; 
• Implement environmentally sustainable practices, such as energy conservation and waste reduction; 
• Collaborate with the Facilities Manager in London to negotiate contracts with vendors and service providers, providing updates to the Line Manager; 
• Maintain accurate records and documentation related to health, safety, and facility compliance; 
• Train staff on emergency protocols and evacuation procedures, coordinate with emergency services and first responders during crises, and conduct post-incident reviews to implement corrective actions; 
• Act as the primary point of contact for facility-related matters, working closely with internal departments, liaising with building management and vendors, and ensuring smooth office operations.

Requirements

• Bachelor’s degree in Facility Management, Engineering, Business Administration, or a related field; 
• Proven experience in facility management or a similar role; 
• Strong knowledge of building systems, maintenance, and safety regulations;
• Excellent organizational and project management skills; 
• Ability to manage budgets, negotiate contracts, and optimize costs effectively;
• Strong leadership and communication skills; 
• Ability to collaborate with various stakeholders and departments to ensure smooth facility operations.
• Business level proficiency in English or above (equivalent to B2 or above in CEFR)
