Responsibilities
- Oversee daily facility operations to ensure efficiency and compliance with company policies;
- Develop and implement maintenance schedules for equipment, air-con, plumbing, and electrical systems;
- Ensure all facilities are clean, well-maintained, and meet operational and safety standards;
- Conduct risk assessments and implement measures to enhance employee and visitor safety;
- Coordinate emergency response procedures, fire safety drills, and security protocols;
- Manage vendor contracts, oversee service quality, and ensure cost-effective facility management;
- Monitor utility consumption and implement energy-saving initiatives;
- Collaborate with the London Facilities Manager to develop and oversee the facilities budget, ensuring cost control and efficient resource allocation;
- Plan office layouts, optimize space utilization, and oversee office moves or renovations;
- Implement environmentally sustainable practices, such as energy conservation and waste reduction;
- Collaborate with the Facilities Manager in London to negotiate contracts with vendors and service providers, providing updates to the Line Manager;
- Maintain accurate records and documentation related to health, safety, and facility compliance;
- Train staff on emergency protocols and evacuation procedures, coordinate with emergency services and first responders during crises, and conduct post-incident reviews to implement corrective actions;
- Act as the primary point of contact for facility-related matters, working closely with internal departments, liaising with building management and vendors, and ensuring smooth office operations.
Requirements
- Bachelor’s degree in Facility Management, Engineering, Business Administration, or a related field;
- Proven experience in facility management or a similar role;
- Strong knowledge of building systems, maintenance, and safety regulations;
- Excellent organizational and project management skills;
- Ability to manage budgets, negotiate contracts, and optimize costs effectively;
- Strong leadership and communication skills;
- Ability to collaborate with various stakeholders and departments to ensure smooth facility operations.
- Business level proficiency in English or above (equivalent to B2 or above in CEFR)
